How to Manage WhatsApp Leads for a Travel Agency

Most travel inquiries still arrive as a chat. The work is not “install a chatbot.” The work is making sure the next person on the desk can see the traveler, the dates, and the last price that was sent.
What actually happens on a busy desk?
A family messages three agencies the same evening. The first reply with a usable price often wins. In many agencies that reply still comes from a personal WhatsApp Business phone.
If the owner is driving, the chat waits. If a sales person leaves, the history leaves with them.
Spreadsheets try to compensate: a row per lead, a column for “last WhatsApp.” Those rows go stale the moment the real conversation continues in the app.
How should travel agencies capture WhatsApp leads?
Give the agency one business number that inbound sales should use. Write down who is allowed to reply after hours. Keep a shared list of open inquiries with:
- traveler name
- destination
- travel month
- last quote version
- who owns the next reply
Do not mix supplier chats, driver coordination, and new sales on the same unlabeled inbox if you can avoid it.
Optional capture rules — for example only creating a CRM lead when the message contains “package” or a destination — reduce junk from a public number.
- 1
Inbound chat
The family writes to the agency number, not a personal phone if you can help it.
- 2
Lead record
Name, destination, dates, and owner exist somewhere the whole desk can see.
- 3
Requirements
Ask the missing facts the same day: pax, budget band, cities.
- 4
Quote on the lead
The PDF you send should be findable tomorrow, not only in WhatsApp search.
- 5
Follow-up
The next message names the trip and the last price — see the follow-up article.
That process works with or without TravelXGo. The CRM is how you stop the process living in one person’s pocket.
How does WhatsApp fit into a travel agency CRM?
TravelXGo WhatsApp CRM connects Meta WhatsApp so 1:1 chat lives on the lead.
- Approved Meta templates cover first contact and the 24-hour window.
- Inside the window you can send free-form chat.
- Quotation PDFs can be shared from that same traveler.
- Marketing campaigns are a separate admin surface with plan message limits. They are not a substitute for the lead inbox.
This is not automatic closing. It is a shared record so the desk can answer while the traveler is still comparing.
What should you not do?
- Treat a personal chat list as the agency archive.
- Paste screenshots into a sheet and call that “handover.”
- Run supplier coordination and new sales in the same unlabeled inbox.
- Expect a CRM to invent conversion percentages. Follow-up still needs an owner.
The adjacent problem is the pipeline those chats should land on. That is lead management, and the wider system is the travel agency CRM.
