How to Follow Up With Every Travel Lead
Follow-up is not a slogan. It is knowing who owes the next message, whether a quote is still valid, and whether the family already booked elsewhere.

Follow-up is not a slogan. It is knowing who owes the next message, whether a quote is still valid, and whether the family already booked elsewhere.
What does a simple follow-up rhythm look like?
A desk can keep this without a marketing-automation suite:
- Same day: acknowledge the inquiry and ask the missing facts (dates, pax, budget band, cities).
- Next working day: send a first quotation if you promised one.
- After the quote: one check-in if they went quiet, then a last “still planning?” note before you mark the lead lost.
The exact hours matter less than ownership. If two people both think the other will reply, nobody does.
Why should you follow up on the quote, not a vague “hi”?
Travelers compare PDFs. Your follow-up should name the trip, the dates, and what changed (hotel sold out, flight jumped). That only works if the last quote version is findable.
A CRM that versions quotations on the lead beats a WhatsApp search for “Bali pdf”. See how travel agencies manage quotations.
- 1Inquiry acknowledged
- 2Facts collected
- 3Quote sent
- 4Named check-in
- 5Last note
- 6Won or lost
Where do follow-ups actually happen?
For most Indian travel desks, the next message is WhatsApp. If the chat is not attached to the lead, the reminder depends on whoever remembered. That is the same failure mode described in WhatsApp lead management.
Keep one business number for sales. Keep the quote on the traveler. Then the follow-up can mention the real itinerary.
How does TravelXGo support this?
The lead holds status, assignee, WhatsApp, and quote versions. You still decide the message.
TravelXGo does not invent conversion percentages or promise that reminders close trips by themselves. Reminders and unanswered-quote attention exist in the product so a desk can see what is waiting — not because TravelXGo claims a separate marketing-automation suite.
Converted or lost leads stop WhatsApp messaging in the UI so the desk is not chatting a closed file.
