How to Create Tour Packages a Travel Agency Can Reuse
A tour package is reusable trip content: days, inclusions, and the services you actually sell. The quotation is the priced version for one family. Keep those two objects separate.

Agencies searching how to create tour packages usually already sell the trip. The problem is that the only copy lives in last year’s WhatsApp or a Word file named kerala_final. A package you can reuse is a catalog record. A price you can defend is a quotation.
What is a tour package for a travel agency?
A tour package is reusable trip content: destination, nights, a day-wise outline, inclusions and exclusions, and the services you typically attach (hotels, transfers, sightseeing).
It is not:
- the PDF you sent one family last Tuesday
- a consumer itinerary builder for travelers to drag cities around
- a substitute for supplier contracts
Editors maintain packages. Sales uses them so each new quote does not start from a blank page. That split is how travel agency software differs from a contact CRM.
How do you write a package the desk will actually reuse?
Start from a trip you already sell, not from a blank “10 days Europe” fantasy.
- Name it the way sales says it — “Kerala 6N honeymoon (Munnar + Alleppey),” not internal code
KER-06. - Fix duration — nights and a default city sequence.
- Write days as outcomes — “Munnar: tea museum and Eravikulam” beats a novel.
- List inclusions and exclusions — meals, transfers, entry tickets, and what the traveler still pays.
- Attach the usual suppliers — the hotel band and cab type you actually book, even if the live rate still lives in a rate sheet for now.
- Do not freeze the selling price on the package alone — dates, occupancy, and room category change. The priced object is the quotation.
- 1
Pick a trip you already sell
If you cannot describe it in one sentence, it is not ready for the catalog.
- 2
Write days and inclusions
Enough for a family to understand the trip without a phone call.
- 3
Link typical services
Accommodation, transport, and other services you will cost later.
- 4
Quote from the package
Dates, hotel category, and markup belong on the quotation.
- 5
Revise the catalog when the product changes
A new default hotel is a package edit, not a WhatsApp rumour.
Package vs quotation vs booking — which object is which?
| Object | Job | When it changes |
|---|---|---|
| Package | Reusable itinerary and inclusions | When you change how you sell the trip |
| Quotation | Priced version for one family and dates | When the hotel, pax, or markup changes |
| Booking | Confirmed trip with traveler and payment status | When money or a confirmation exists |
Day-wise content and pricing on a live deal live on the quotation. Packages give you the skeleton. Bookings start after yes — see how travel agencies manage bookings.
How to version and share the PDF is in how travel agencies manage quotations.
What should you not put in the package catalog?
- Every one-off FIT as a “package” (the catalog becomes a junk drawer)
- Supplier net rates you have not permission to publish
- Last year’s selling price with no date (families screenshot it)
- A 4,000-word blog post per day (sales will not read it; travelers will not either)
How does TravelXGo handle packages?
TravelXGo holds a package library alongside suppliers (accommodation, transport, other services). Free includes a small package library; Starter and Growth increase that capacity — see pricing.
You still price on the quotation: QUICK for a first number, SUPPLIER when lines should follow the catalog. TravelXGo is not a consumer itinerary app for travelers to build their own trips.
